Privacy notice
This explains what personal information we collect, why we need it, where it is kept and what you can ask us to do with it. It covers both schools on our campus, Twinkle Toes Learning Center and Vantage Point at Twinkle Toes, at Erf 399, Unit E, Thohoyandou.
Most of this notice is about our online application, because that is the only place on this website where we ask for personal details. It is written for parents and guardians rather than for lawyers, and it is deliberately specific about children's information.

Reading this website collects nothing about you
We use no cookies, no analytics, no advertising tools and no social media trackers, and nothing is saved in your browser. You can read every page without telling us anything about yourself, and without filling anything in.
One thing worth saying plainly: as each page loads, your browser fetches the school's current fees, hours and other details from the school's database, so a request goes to it. That request says nothing about you. But it, and the loading of the page itself, are recorded in our providers' ordinary server logs, as happens with every website. We do not use those logs to track or profile visitors.
The enquiry form does not send us anything
When you use the tour or enquiry form, nothing is transmitted to us or stored on this website. The form gathers what you typed into a message and opens your own WhatsApp or email app with it ready, addressed to the school. You read it and decide whether to send it. If you send it, your message sits in the school's WhatsApp or email account, the same as any other message.
When you apply online
The online application is the one part of this website that collects and stores personal information, including information about a child. The sections below set out exactly what happens to it.
What the form asks for
Depending on the school and the answers given, the application can include:
- The child's full name, date of birth and home address, and the group or grade applied for
- Details for one or two parents or guardians, including identity number, relationship to the child, contact numbers, email address and address
- Up to two emergency contacts, and for Twinkle Toes up to three people authorised to collect the child
- Health information about the child, which may include medical aid details, chronic conditions, allergies and medication
- Who is responsible for paying fees
- For Vantage Point, previous school details where a learner is transferring
- The permissions you give or withhold, including photograph permission
- A typed name, the date, and a signature you draw on the screen
Photograph permission has no pre-selected answer. Nothing is assumed on your behalf.
Why we need it, and the child's information
We use it to consider the application, to contact you about it, to care for and safeguard your child if a place is offered, and to administer fees. We do not use it for marketing and we do not sell it or share it with anyone for their own purposes.
Because the application is about a child, the law requires the consent of a parent, guardian or other competent person. The form is completed and signed by that person, and that is the basis on which we hold the child's information. If you are not that person, please do not complete the form.
Health information
Health information receives extra protection in law, and we treat it that way. We ask for it only so that we can keep your child safe: so staff know about an allergy, a chronic condition or medication before there is an emergency. It is used for your child's care and for nothing else.
Where the information is kept
Applications are stored in the school's own private database, hosted on servers in the European Union, in Ireland. This means your child's information leaves South Africa and is stored abroad, and we would rather say so plainly than bury it.
Three specialist companies are involved in running this: one provides the database, one hosts the website itself, and one carries the traffic between your browser and the database. Each acts on the school's instructions only, and none of them is permitted to use what it holds for its own purposes. We will tell you who they are if you ask.
The connection between your browser and that database is encrypted. Applications are never published into the public part of this website, and no document or PDF is ever uploaded from your device.
Who can see it
Only the school's authorised administrator, after signing in. Opening a full application requires the password to be entered again at that moment, even when already signed in.
Every sign-in, every password attempt and every opening of an application is written to a record that cannot be edited or deleted, including by the administrator. That record notes which application was opened and when. It holds no child, family, contact, health or signature details.
How it is kept safe
- Only one administrator session can be active at a time, so signing in on a new device ends the previous one
- An unused session signs out by itself after ten minutes of genuine inactivity
- The most sensitive parts of an application, including the health details and the drawn signature, cannot be read by the browser at all except through the protected route described above
- No third-party code runs in your browser on any page of this website, which removes the most common route by which data is stolen from websites
No system is beyond risk. If personal information in our care is ever accessed or disclosed unlawfully, we will report it as the law requires and tell the people affected.
Supporting documents such as ID copies and certificates
Supporting documents are never uploaded through this website. The application form has no attachment or upload facility of any kind. After you submit, you are given an application reference and asked to provide your documents to the school separately.
Depending on what suits you, that means bringing the documents to the school so they can be copied and handed back, or sending them by email or WhatsApp to the school's own contact details, quoting your application reference.
If you send documents electronically, please know that ordinary email and messaging are not secure. Anyone with access to the account, or to your device, can read what is in it. Bringing documents to the school in person is the safer option, and we are happy to do it that way.
Documents received are used only to verify the application and complete enrolment. They are not added to the online application record, and they are not published anywhere.
If the application does not go ahead, the documents are destroyed once they are no longer needed for it. If it is successful and your child takes up a place, they are filed in the school's own records at the school, for as long as your child attends.
How long we keep things
| Information | How long we keep it |
|---|---|
| Online application | Six calendar months from the moment it is submitted, then deleted automatically and permanently from the online database. The deletion is built into the database and runs on its own, so it does not depend on anyone remembering. Where the application is successful and your child takes up a place, the school also keeps the child's information in the school's own records at the school, for as long as your child attends. That is a separate file, held by the school rather than on this website, and the automatic deletion above does not touch it. |
| Supporting documents | Only as long as needed to verify the application and complete enrolment, then destroyed. Where the application is successful and your child takes up a place, the documents are instead filed in the school's own records at the school, for as long as your child attends. |
| Security record | Kept as a security record, and not removed when the application is deleted, so there is a lasting record of who opened what. It contains no child or family details. |
| Your visit to this website | We keep nothing ourselves: no cookies, no analytics and nothing saved in your browser. Our providers keep their ordinary server logs of requests for a short period, as every website host does. |
| Submitting an application | To stop the form being abused, a scrambled one-way code stands in for the sending device for 24 hours and is then removed. It cannot be turned back into an address. |
| A message you send us | Held in the school's own WhatsApp or email account, not on this website. |
Your rights
What you can ask us to do
- Ask what personal information we hold about you or your child
- Ask us to correct anything that is wrong or incomplete
- Ask us to delete information we no longer need
- Object to how we are using it
- Withdraw a permission you gave, such as photograph permission
Withdrawing a permission does not undo what was already done while it applied, and some information may have to be kept where the law requires it.
How to ask
Contact the school and say what you would like done. If your request is about an application, please quote the application reference, because it lets us find the right record without going through others.

Changes to this notice
If how we handle personal information changes, we will update this page and change the date at the top. Where a change materially affects information we already hold about your child, we will tell you rather than rely on you noticing.
